- States the problem clearly and calmly, with the key facts and dates
- Explains the impact on me without exaggerating
- Makes one specific, reasonable request
- Sets a polite but clear expectation for a response (what, and by when)
- Stays firm and professional — no insults or threats; easier for them to help than to fight

Keep it concise. Use only the facts I gave you — don't invent details or company policies. Don't include full sensitive numbers if a partial or reference is enough. Give me one email version and one shorter version for a chat or web form. If this involves a legal right or a large sum, mention I may want to check my consumer rights or escalate formally, without pretending to give legal advice.
